DHS-Case Management Qualitative Specialist-Grade 105 $18.15-$19.46/hourly ($3,146.00 - $3,373.00/monthly) GENERAL STATEMENT OF DUTIES Position ensures the integrity accuracy and compliance of case documentation by reviewing and analyzing case management notes. This role is responsible for auditing records for completeness, identifying documentation trends and translating findings into actionable training tools and templates to support case managers in their daily workflows. DUTIES Audit & Review Case Notes: Conduct regular qualitative reviews of case notes to ensure they meet accuracy, completeness, regulatory compliance, and organization standards. Identify & Develop Trends: Analyze documentation data across teams to spot recurring gaps, strengths, and areas of risk, turning raw information into clear trend reports. Recommend & Support Training: Collaborate with leadership to suggest targeted training topics based on audit findings, helping to bridge knowledge gaps for case management staff. Develop Documentation Templates: Design, test, and implement case note templates and standardized writing guides to streamline workflows and improve data collection. Feedback & Collaboration: Provide clear, constructive feedback to case managers and supervisors regarding documentation quality and compliance expectations. JOB REQUIREMENTS AND DIFFICULTY OF WORK Ability to collect and analyze qualitative and quantitative data. Ability to objectively evaluate narrative case notes, infer context and identify underlying compliance issues or systemic trends. Ability to utilize management and planning tools. Skill in logical reasoning and problem solving. Ability to organize work load and set priorities. Meticulous proofreading and reviewing skills to compare notes against prescribed guidance to catch missing information, inconsistencies and errors within high volumes of narrative text. Ability to organize non-numerical qualitative data (text) into logical categories, themes and actionable insights. Position must be able to adjust to rule changes and exert initiatives in problem solving. The work includes a variety of processes and tasks necessary to accomplish the day-to-day functions. Standard procedures are used to accomplish a variety of duties requiring independent decisions. Basic knowledge of social casework techniques and of community resources, and existing laws that relate to aged and disabled adults. Skill in written communication and the ability to draft clear reports, design professional templates and write easy-to-follow training guidelines. Guidelines used to govern the work include: Volume VIII of the Social Services Manual, Title XX Service Manual, Volume V, the Administrative Service Manual, prescribed review templates and a wide variety of laws, such as the conservatorship law, guardianship law, care and treatment of the mentally ill, etc. Provide programmatic and trend updates as well as staff recommendations to the supervisor in a clear and actionable manner. Must have basic computer skills and be proficient in Excel. Performs tasks which require the knowledge of rules, regulations, procedures, and methods governing the type of accounting transactions, Employees at this level are expected to perform standard work assignments with little supervision. RESPONSIBILITY Position is expected to identify compliance with applicable guidance, rules and laws. Supervisor looks at final results to ensure compliance with rules, regulations, and policies. Position makes choices and takes initiative in performing a variety of assignments or tasks. Errors in the majority of the work could have a significant financial impact and would cause adverse effects on agency operations.
